Massage Therapy Policies

Starting January 1, 2024, we are implementing a cancellation policy that requires clients to have a valid credit card on file when booking appointments. The credit card information will be securely stored and used for the following purposes:

💳 To charge for last-minute cancellations, no-shows, late arrivals, or any incidentals or additional charges associated with services rendered, including massage therapy, or direct billing. The clinic still accepts cash, email transfers, and all debit type payments.

Security and Privacy

Please rest assured that your credit card information will be securely stored in your electronic health file, and our clinic adheres to strict privacy and security protocols to protect your sensitive data. Your information will never be shared and is never stored with a third party as set by CMTO standards.

Clients are responsible for understanding and adhering to this comprehensive cancellation policy, including the requirement to have a credit card on file.

To achieve this balance, we have established our cancellation policy regarding last-minute cancellations and no-shows, which includes maintaining a credit card on file for appointment security.

Definitions

Last-Minute Cancellation: A cancellation made less than 24 hours before the scheduled appointment time.

No-Show: A client who does not arrive for their scheduled appointment without prior 24-hour notice or contact.

Late-Arrival: A client who arrives more than 10 minutes late for their scheduled appointment will be charged for the full appointment time.

Outline of Policy

💲Fees for Last-Minute Cancellations: Clients who cancel their appointments less than 24 hours before the scheduled time are subject to a full charge fee. If the appointment is canceled with less than 24 hours notice, a fee of 100% of the service cost will be charged. This will be determined by the time the call or text was received by the clinic, or the time the email arrived. Text messaging is the fastest method of communication. Please note that responding to text and email reminders does not count as notification since they are outbound only, and it is the client's responsibility to reach out.

📅Rescheduling: We understand that unforeseen circumstances can arise. Therefore, we will make every effort to reschedule the canceled appointment without incurring any charges, provided the cancellation policy is followed.

📞Case-By-Case Waiver: My primary goal is to provide reliable care to clients. In cases where a last-minute cancellation is due to a genuine emergency or extenuating circumstances, we may waive the associated fees. Please contact us to discuss your situation.

No-Show

💲Fees for No-Shows: Clients who do not show up for their scheduled appointments without prior notice or contact are subject to a fee. No-shows are subject to 100% of the service cost depending on the circumstances.

📅Rescheduling: We believe in second chances. After a no-show incident, we will make every effort to reschedule the appointment to provide the client with the opportunity to receive the massage therapy services they missed. This rescheduled appointment may require pre-payment of services prior to the appointment.

📞Case-By-Case Waiver: We understand that emergencies and unforeseen situations can occur. In such cases, we may waive the no-show fee. Contact our clinic to discuss your situation with our staff.

Late-Arrivals

Late arrivals may not receive the full session time allotted for the treatment service booked but will be invoiced for the full time of the appointment. Full payment will be required for the original time booked.

Client Responsibilities

Clients are responsible for understanding and adhering to this comprehensive policy, which includes the requirement to have a credit card on file in the future. Everyone receives an email and text reminder of their appointments 24 hours prior to their scheduled time. These texts and emails have been confirmed by you during the setup of the electronic file when forms were sent.
